The problem

A folder of documents rarely arrives sorted. It arrives in bulk, with names given by a scanner, a phone, or whoever sent it. Before anything can be done with it, someone opens every file, works out what it is, renames it, files it, and notes what is missing.

That work takes between twenty minutes and two hours per folder. It requires no particular skill, it does not delegate easily, and it starts again identically with the next folder.

What Klarfolder does

• It reads each document just enough to identify it: the type, the date, the issuer, the person.
• It proposes a name and a place in a tree, and shows the whole table before writing.
• It spots duplicates, separating certainties from resemblances.
• It compares the folder against a list of expected documents and says what is missing, document by document and person by person.
• It produces a list of documents as a PDF, and the chasing message that asks for what is missing.

The boundary with the other Klar tools

Each tool in the family does one thing, and refuses the others. Klarmask removes information from a document. Klarentry extracts fields and fills in a form. Klarinbox opens messages. Klarfolder names, files and checks completeness; it reads in a document only what it takes to identify it.

That boundary is not a technical limit: it is what makes it possible to say in one sentence what each tool does, and to avoid ending up with software that does everything by halves.

The model

The tool is free and requires no account. There is nothing to install, nothing to create, and no file leaves your computer.

A version for teams is planned, with shared document lists and the intranet package; it will change nothing about the promise on the Privacy page.
