For notaries
The documents of a deed arrive from the client, the agency and the bank, with three different naming conventions.
What the tool can do
- Identify notarial deeds, civil status records, tax assessments, property tax notices and identity documents.
- File by person, which is the only way to hold a file with several parties.
- Produce a list of what was received, on a given date.
What stays difficult
A notarial deed is forty pages of prose with no header. The tool identifies it as a deed, but names it badly: the notary who drew it up is not the party that belongs in the name.
The answer is not one more rule: it is correction in one go. You correct one document, you choose “all documents from the same source folder”, and the five deeds follow.
What is still missing
Family record books, birth certificates, preliminary sale agreements and technical surveys are not yet identified. They are read, filed as unsorted, and listed as such.
