Identify the documents in a folder
Drop a folder: each file gets a proposed type, its date, its issuer and the person it concerns. Nothing is renamed, nothing is moved: this is a reading, and you can contradict it row by row.
Or drop a whole folder, with its subfolders and archives here. Nothing is sent: everything stays in this tab.
When to use it
A folder arrives by email, on a USB stick or by transfer, with a hundred files called scan0012.pdf, IMG_2043.jpg and document (3).pdf. Nobody knows what is in it without opening them one by one.
Or the folder is already sorted, but you have to tell someone what it contains, and you would rather not count again by hand.
What this tool does
- 32 types identified: payslip, tax assessment, identity document, company registration extract, bank details, bank statement, tenancy agreement, rent receipt, employment contract, judgment, notarial deed, insurance certificate, and the rest.
- Three confidence levels, and the difference matters: identified, to confirm, unsorted. A document the tool is unsure about is never filed with confidence.
- The date that names the document, and its role: the issue date of an invoice, the period of a payslip, the expiry date of a certificate.
- The issuer and the person, when the document says so: that is what allows sorting by client rather than by heap.
- The clues are shown: click a document and the tool says what identified it. When it found nothing, it says that too.
What it does not do: the tool certifies no document genuine, and it never says a file is complete or acceptable. It proposes a type, you approve it.
What is read in the document
- The text of the document, when there is one, and its header first: that is almost always where the naming information sits.
- Printed codes: the French 2D-Doc of a tax assessment, the machine-readable zone of a passport or identity card, QR codes.
- Scanned documents are read in this tab, only if you leave the box ticked.
- What the tool does not read: the rest. It extracts no amount, no account number, no address. Extracting fields is Klarentry's job.
No file is uploaded: the folder is read by your browser, in this tab, and the page is not allowed to open a connection to any other site.
Frequently asked questions
- How many files can it read at once?
- A thousand files were walked, read and rewritten without the tab falling over, and the content is never kept in memory: the tool holds only enough to read a document again at the moment of writing.
- Are ZIP archives opened?
- Yes, up to three levels of nesting, and the documents inside are treated like the others. A
.docxis not opened as an archive, even though technically it is one. - What about emails?
- An
.emlor a.msgis read as a document, and its attachments become documents in their own right. For whole mailboxes, use Klarinbox. - What happens when the tool gets it wrong?
- You correct it, and you choose what the correction applies to: this document, all those from the same issuer, all those of the same type. The number of documents affected is shown before you confirm.
The other tools
- Identify one document : One document, one answer, and the clues that produced it.
- Rename a folder of files : A naming pattern applied to a whole folder, with the before and after preview and the undo.
- Sort a folder into a tree : By family, by person, by year, by issuer: the tree is proposed, never imposed.
- Find duplicates : Byte-for-byte identicals, scans proposed as duplicates, and the series that are not.
- Check against a list of expected documents : The heart of the tool: present, missing, doubtful, extra.
